From GP to Growth: Rethinking Customisation, Integrations and ISVs in Business Central | mhance

Part 3 of the From GP to Growth series

For many organisations running Microsoft Dynamics GP, customisation has been essential. Over time, SQL scripts, Dexterity code and bespoke integrations have filled functional gaps and kept systems running the way the business needs.

But as GP approaches the later stages of its lifecycle, this approach is becoming harder to sustain.

In Episode 3 of our five‑part From GP to Growth webinar series, we explored how customisation, integrations and ISVs work differently in Business Central, and why this shift is about simplifying your technology estate, not losing flexibility.

Why GP customisation has become a challenge

Historically, GP customisation meant changing the core system itself. While powerful, this approach often led to:

Increased complexity and technical debt

Higher upgrade and maintenance costs

Greater reliance on specialist development skills

Slower adoption of new Microsoft features and innovations

With Microsoft’s investment now firmly focused on Business Central and the cloud platform, organisations are facing a key decision: do we carry forward everything we’ve built, or do we redesign for the future?

Business Central’s extension‑first model: what’s different?

Business Central takes a fundamentally different approach.

Rather than modifying the core solution, customisation is handled through extensions. This means:

The core system remains “vanilla” and upgrade‑safe

Microsoft-managed updates are applied automatically

New features, security updates and AI capabilities are always available

There’s no need for costly, disruptive upgrade projects

Extensions sit alongside the core product, expanding functionality without rewriting it. The result is a system that evolves continuously, rather than one that has to be periodically rebuilt.

Integrations designed for the modern Microsoft ecosystem

In GP, integrations are often point‑to‑point and heavily customised. In Business Central, integration is API‑driven by design.

This unlocks native connectivity with the wider Microsoft stack, including:

Power Automate for workflow and process automation

Power BI, embedded directly within Business Central

Excel and Teams, with one‑click access to live data

Event‑driven architecture for more reliable, scalable integrations

The focus shifts from maintaining integrations to using data more effectively across the organisation.

ISVs: adding capability without complexity

Business Central has a global ISV (Independent Software Vendor) ecosystem, with extensions covering everything from purchase‑to‑pay and payroll to inventory optimisation and advanced forecasting.

Crucially, all ISVs must meet Microsoft’s strict compatibility standards. That means:

Extensions are tested against every Business Central release

Updates happen seamlessly alongside the core system

Performance and reliability are maintained without user disruption

For customers, this reduces vendor lock‑in and makes it easier to evolve the solution over time.

Carry forward or redesign? Asking the right questions

One of the most common concerns GP customers raise is:

“We rely heavily on customisations – what happens to those?”

The answer isn’t a simple yes or no.

In Business Central:

Some customisations may still be required, particularly where there are genuine regulatory or uniquely business‑specific needs

However, most GP customisations exist because of historic limitations – not because the processes themselves are unique

Rather than asking “How do we recreate this customisation?”, the better question is:

“What outcome was this customisation designed to achieve?”

From there, it’s often possible to achieve the same (or better) outcome using:

Standard Business Central functionality

Extensions

Power Platform tools

Modern workflow automation

A chance to challenge and improve processes

Moving from GP to Business Central isn’t just a system change – it’s an opportunity to re‑examine how your organisation works.

Many GP processes exist because of GP. Business Central enables:

Simpler user experiences across finance and operations

Reduced manual effort and rekeying

More consistent data flows between teams

Faster adoption of automation and AI‑driven capabilities

Organisations frequently report that operational benefits are felt quickly, not just financial ones.

Future‑proofing without “big bang” change

A key message from this session was reassurance: you don’t have to do everything on day one.

Business Central is modular by design. Capabilities such as OCR, warehouse scanning, advanced reporting or AI‑driven automation can be introduced gradually, as the organisation is ready.

This flexibility allows you to:

Reduce risk

Manage change more effectively

Scale functionality alongside growth and strategy

All while remaining on the latest version of the platform.

Looking ahead in the series

Episode 3 focused on simplifying complexity and reducing technical debt through extensions, integrations and modern design principles.

In the next sessions, we’ll explore:

What it means to work with mhance as an ongoing partner, not just a supplier

How organisations can plan their transition timelines with confidence

How Can Agentic AI Shape the Future of Your Nonprofit? | mhance

How Can Agentic AI Shape the Future of Your Nonprofit?

Nonprofit teams are under constant pressure to do more with less, including limited budgets, rising supporter expectations and growing administrative burden. Agentic AI is starting to change that, not by replacing people, but by giving small teams leverage they have never had before.

At mhance, we want to focus on what really matters:

What does Agentic AI actually mean for your nonprofit, and how can it help you do more good?

First Things First: What Is Agentic AI?

AI is not new. It has been around for over 50 years, powering character recognition, automation and machine learning behind the scenes. What changed with tools like ChatGPT is that AI became accessible to everyone. It moved from a developer-only tool to something anyone can use.

Agentic AI is the next evolution.

At its core, Agentic AI means:

Autonomous research

Autonomous decision-making

Proactive assistance

Human-in-the-loop oversight

Put simply, Agentic AI does not just respond to questions. It actively works on your behalf within clear rules and with appropriate human oversight.

Think of it as an always‑on digital team member that researches donors, drafts communications, triages cases and identifies trends, allowing your people to focus on strategy, relationships and impact.

Because we are a Microsoft-focused partner, much of what we demonstrated in our recent webinar leverages tools like Microsoft Copilot, Dynamics 365 and Copilot Studio.

Why Nonprofits Should Pay Attention Now

Agentic AI is not about replacing people. It is about removing friction.

Here is where we are seeing real, measurable value.

Increased Donor Conversion

AI can:

Optimise donation forms in real time

Adjust suggested donation values

Tailor messaging based on engagement history

Personalise email journeys dynamically

The result is higher conversion and more meaningful engagement.

Improved Donor Retention

Generic communications are easy to ignore.

Agentic AI allows you to:

Personalise messaging at scale

Tailor content based on supporter behaviour

Predict donor drop-off risk

Trigger proactive engagement journeys

Instead of one‑to‑many communications, Agentic AI enables genuinely personalised journeys at scale by predicting drop‑off risk and triggering proactive engagement.

Predictive Insights for Major Donors

Imagine asking AI to:

Research a major donor’s latest activity

Identify their recent philanthropic focus

Highlight stakeholders and connections

Analyse past communications

Assess engagement risk

In our demo, we showed how AI can act as a deep research assistant within Dynamics 365, consolidating CRM data, public information and internal interactions into a single, actionable summary.

This is strategic intelligence delivered instantly.

Reducing Administrative Burden

Perhaps the biggest win is removing the administrative noise.

Agentic AI can:

Draft emails

Create journey shells in marketing automation

Summarise case histories

Generate knowledge base articles

Classify and route cases automatically

Every hour saved drafting emails, summarising cases or building journeys is an hour redirected towards delivering impact.

Transforming Supporter Care with Intelligent Case Management

Supporter care is one of the most powerful areas for AI.

With intent-based routing and sentiment analysis, AI can:

Identify urgent cases

Escalate emotionally sensitive interactions to humans

Automatically respond to routine queries

Classify case types accurately

Suggest next-best actions

For example:

“How do I renew my membership?” can be handled automatically.

A safeguarding concern can be escalated immediately to a human.

You remain in control. AI handles first‑line triage and repetitive queries, while emotionally sensitive or safeguarding issues are escalated immediately to people.

AI-Powered Journeys in Customer Insights

Within marketing tools like Microsoft Dynamics 365 Customer Insights, AI is becoming AI-first.

Instead of starting from a blank canvas, you can:

Describe the segment you want

Define your objective

Generate a draft journey

Auto-create segment logic

Produce suggested email content

It does not replace marketers. It gives them a head start.

The question shifts from “How do I build this?” to “How do I refine this?”

Building Your Own AI Agents Safely

Using Copilot Studio, organisations can build bespoke AI agents.

At its simplest, an agent consists of:

A structured prompt

Guardrails and behavioural rules

A curated knowledge source

Optional integrations with CRM

You might start with:

An internal HR policy assistant

A programme delivery knowledge bot

A membership query chatbot

Then gradually expand.

This soft-start approach allows nonprofits to test internally, refine tone and governance, validate outputs and roll out externally with confidence.

The Critical Foundation: Data Quality

AI is only as powerful as the data behind it.

Without clean CRM data, structured supporter history, accurate segmentation and clear governance, AI will underperform.

Strategic AI adoption starts with a data strategy.

Ethics, Transparency and Bias

As nonprofits, we hold a higher standard of accountability.

Responsible AI adoption must include:

Transparency. Understanding how the AI reached its conclusion.

Human oversight. Maintaining human involvement for sensitive decisions.

Bias mitigation. Many large language models are trained primarily on Western-language datasets. Organisations working in multicultural contexts may need supplementary knowledge and careful review processes.

AI should enhance inclusion, not undermine it.

A Pragmatic Path Forward

Agentic AI does not require dramatic overnight transformation.

A pragmatic starting point:

Reduce administrative workload

Automate low‑risk scenarios first

Generate drafts rather than final outputs

Expand based on confidence and return on investment

Build confidence. Measure ROI. Expand strategically.

This is evolution, not revolution.

Ready to Explore What Is Possible?

At mhance, we are running practical AI and Copilot workshops designed specifically for nonprofits, helping you:

Define realistic use cases

Build a business case

Measure ROI

Establish governance guardrails

Pilot safely and effectively

If AI is not yet a focus for your organisation, now is the moment to start.

By moving beyond buzzwords, nonprofits can focus on real and meaningful transformation.

Agentic AI is not designed to replace people.

It is designed to empower them to achieve more good.

Perhaps the biggest win is removing the administrative noise.

Draft emails

Create journey shells in marketing automation

Summarise case histories

Generate knowledge base articles

Classify and route cases automatically

Modernising Nonprofit Operations: Why “More Systems” Isn’t a Strategy | mhance

Nonprofits don’t lack technology. Most have plenty of it.

What they often lack is coherence: a reliable way to connect fundraising, compliance, supporter engagement and programme delivery into a single operating picture. When that coherence is missing, teams compensate with spreadsheets, exports, manual reconciliations, and workarounds, and the real cost isn’t just time. It’s governance risk, slower decision-making, and reduced organisational agility.

In our recent webinar on modernising nonprofit operations, we explored a practical alternative: simplifying operations by reducing system complexity and building a single, trusted view of the organisation using Microsoft technology, without defaulting to expensive custom development or over‑engineered architecture.

The uncomfortable truth: complexity doesn’t scale, it compounds

As organisations grow, “system sprawl” becomes self-reinforcing. Each new requirement (a new fundraising stream, a new compliance need, a new reporting request) adds another tool, another integration, another dataset, and another set of exceptions.

And that’s where many transformation programmes go wrong. They treat the problem as:

“Which system should we buy next?”

When the real question is:

“How do we create trustworthy data, governed processes, and visibility across the whole organisation?”

This matters because fragmented systems don’t just create operational friction, they undermine confidence. Teams stop trusting reports, supporters receive inconsistent communications, and compliance processes become dependent on individual knowledge rather than auditable controls.

Reframing modernisation: it’s a governance and operating‑model upgrade

Simplifying nonprofit operations requires a shift in thinking:

Bring operational work into one place (the system of record)

Standardise how data is captured (so it can be trusted and reused)

Keep auditability built-in (especially for consent and tax-related processes)

Use analytics platforms for analytics (rather than forcing everything into operational storage)

This is why many organisations anchor their approach on Dynamics 365 as a core platform, extended to reflect nonprofit needs and aligned to the Microsoft Nonprofit Common Data Model, because the data model is what keeps the organisation coherent as complexity grows

Why “low-code” is more than a build choice, it’s a sustainability choice

There’s a pattern we see repeatedly: heavy custom development can look like progress early on, but it often becomes a long-term constraint. It can slow change, increase cost, and make every new requirement harder than the last.

A configuration‑led approach, built on native platform capabilities rather than bespoke reinvention, allows organisations to adapt without repeatedly rebuilding foundations.

In other words: the goal isn’t merely to modernise today’s processes. It’s to build a foundation that can absorb the next decade of change without needing a rebuild.

What a “single view” really means (and what it doesn’t)

A “single view of the organisation” isn’t a dashboard. It’s not a reporting layer plastered on top of disconnected systems.

In practice, a meaningful single view includes:

A unified supporter record enriched by activity and engagement history, surfaced with AI‑driven summaries to reduce time spent navigating multiple tabs

Consistent classification of income and transactions to support reconciliation and better analytics.

Structured consent and preference changes captured as declarations, creating an auditable history of what changed, why, and where it came from.

That’s the difference between “having data” and having usable, governed information.

Compliance as a design principle, not a bolt-on

Compliance and governance aren’t separate workstreams, they’re outcomes of how well your operational system is structured.

When income processing, Gift Aid, consent and financial controls are embedded into everyday workflows:

Audit trails are created automatically

Risk is reduced without increasing administrative burden

Teams spend less time proving compliance after the fact

Governance becomes a by‑product of good system design, not a parallel process.

The modern data principle: don’t treat operational storage as your archive

One of the most important shifts nonprofits can make is using the right platforms for the right work.

Rather than pushing decades of data into operational systems, which can be expensive and harder to manage, a more sustainable model separates:

Operational data, used day to day by teams

Analytical data, used for segmentation, reporting, forecasting and insight

Keeping these connected but distinct supports better performance today while enabling deeper insight over time.

From data to action: automating supporter engagement responsibly

Once data is structured properly, automation becomes safer and more effective.

Clear consent records, consistent supporter histories and event‑driven triggers support timely, relevant engagement without relying on manual exports or disconnected tools. When email consent isn’t present, offline processes can be respected automatically rather than worked around.

The thought leadership point here is simple:

Automation isn’t what makes supporter experiences better. Trusted data does.

A practical path forward: simplify first, then scale

This is not a “big bang” transformation message. It’s a staged, pragmatic one:

Start with a strong, sector-aligned data foundation

Configure for what makes your organisation distinctive rather than rebuilding commodity processes

Use analytics platforms to add depth, forecasting, segmentation, insight, without overloading operational systems

Enable supporter engagement through structured triggers and consent‑aware journeys

The bottom line

The nonprofits that thrive won’t be those with the most tools. They’ll be the ones that build clarity: a single, governed view of supporters, income, compliance and delivery, and a technology foundation that can adapt as the organisation evolves.

If you’re reviewing how your organisation’s systems and data foundations will support the next phase of growth, this is a conversation worth having, before complexity becomes the constraint.

Part 4 of the From GP to Growth series

By now, most organisations using Microsoft Dynamics GP understand that a move to Dynamics 365 Business Central is on the horizon.

But while much of the conversation focuses on what to move and when to move, there’s another critical decision that often has a bigger long-term impact:

Who you choose to guide you there.

In Part 4 of our From GP to Growth series, we explore why moving from GP to Business Central is not just a system change, and why choosing the right partner is one of the most important decisions you’ll make.

This Isn’t Just a Technical Upgrade

One of the most common misconceptions about moving from GP to Business Central is that it’s similar to a version upgrade.

It isn’t.

This type of migration involves:

Rethinking your chart of accounts and reporting structure

Deciding what data should be migrated, archived, or transformed

Replacing legacy GP customisations and add-ons with modern alternatives

Keeping your finance team productive while managing change

This is not a “lift and shift” exercise, it’s a transformation project with business-wide implications.

The Cost of Waiting

A key takeaway is the hidden risk of doing nothing.

Migration projects typically take 4–9 months from kick-off to go-live.

That means even organisations planning a move in the next 2–3 years should already be thinking about:

Internal resource availability

Data and process readiness

Alignment with financial year-end or business cycles

The reality is simple:
The longer planning is delayed, the fewer options you have, and the greater the risk to your organisation.

What a Strong Migration Partner Actually Does

A good migration partner doesn’t just implement software. They help you make the right decisions at every stage.

That includes:

Understanding how your finance team really works

Knowing where GP processes are fit for purpose, and where they aren’t and workarounds are hiding system inefficiencies

Advising when to simplify rather than replicate

Ensuring your team can continue business-as-usual throughout the project

This is where experience becomes critical. Moving from GP to Business Central requires knowledge of both systems, as well as the gaps between them.

From Methodology to Confidence

Another key theme in this session is the importance of a structured, low-risk migration approach.

A typical journey includes:

Discovery and readiness

Understanding your current GP environment, including data, processes, and dependencies.

Migration strategy and design

Defining what moves, what doesn’t, and how your future system should work.

Data migration and validation

Using proven tools and processes to ensure accuracy and confidence in your data.

Configuration and integration

Setting up Business Central to support your all processes both financial and operational, alongside any required extensions.

Testing, training and go-live

Ensuring users are confident and systems are validated before cutover.

Post-go-live support

Continuing optimisation and support once the system is live.

This structure isn’t just about delivery, it’s about reducing risk, protecting operations, and ensuring long-term success.

Protecting the Business During the Move

Beyond delivering the system, the best migrations are designed around minimising disruption.

This means:

Maintaining financial accuracy from day one

Planning controlled cutovers with fallback options

Avoiding unnecessary customisations that increase long-term complexity

Ensuring teams remain productive without being pulled away from day-to-day work

It also includes thinking beyond go-live, ensuring your legacy GP data can be archived securely while still remaining accessible when needed.

What Success Looks Like

A successful move to Business Central should deliver more than just a new system.

Organisations typically see benefits across three key areas:

Financial outcomes

Improved reporting and visibility

Stronger control over margins and working capital

Faster return on investment

Operational outcomes

Faster month-end close

Increased automation of day-to-day processes across all functions

Greater agility to support growth, acquisitions, and new services

Risk and compliance outcomes

A secure, supported cloud-based platform

Reduced reliance on ageing infrastructure

Improved auditability and control

Why Partnership Matters Long After Go-Live

Perhaps the most important shift when moving to Business Central is this:

You’re no longer implementing a static system, you’re moving to a continuously evolving platform.

With automatic updates, new features, and ongoing enhancements, the real value comes from how effectively you continue to use and improve the system over time.

This is why the relationship with your partner shouldn’t end at go-live.

Instead, it should evolve into:

Ongoing optimisation and roadmap planning

Regular reviews to identify new opportunities

Support for automation, reporting, and AI-led improvements

Moving from GP to Growth

Moving from Dynamics GP to Business Central is a significant step, but it’s also a valuable opportunity.

With the right partner, it becomes more than a migration:

More than a technical upgrade

More than a system replacement

It becomes a foundation for long-term growth.

If you’re starting to think about your move from Dynamics GP to Business Central, mhance can help you plan a clear, low‑risk transition, with the experience, structure, and ongoing support to make it a success beyond go-live.

Part 4 of the From GP to Growth series

mhance, a Microsoft Solutions Partner specialising in the nonprofit sector, has announced the successful go-live of a major cloud transformation project with CARE International UK (CIUK), delivering a modern, secure, and scalable Microsoft Azure cloud platform.

The project marks a significant milestone in CIUK’s wider transformation programme, transitioning its IT infrastructure from a hybrid, on-premises environment to a cloud-first model designed to support future growth, resilience, and operational agility.

Working in close partnership, mhance and CARE International have migrated key infrastructure and services from legacy VMware-based systems to Microsoft Azure, Microsoft’s cloud platform, enabling improved scalability, enhanced security, and reduced reliance on physical infrastructure.

Enabling a modern, resilient nonprofit infrastructure

CARE International’s previous environment supported approximately 500 users across multiple international locations, with critical IT and business services hosted across hybrid infrastructure including virtual machines managed through the VMware ESXi virtualisation platform.

Through this transformation, these services have been modernised and optimised in Azure, leveraging cloud-based technologies including:

Azure Virtual Desktop (AVD): enabling secure remote access to desktops and applications

Azure Files cloud-based file storage and sharing

SharePoint Online: cloud-based storage and sharing, replacing legacy file servers

Azure Entra ID: Microsoft’s cloud-based identity service, used with Conditional Access to secure user access

Azure Firewall and VPN Gateway : secure Hub-and-Spoke Network Architecture

Azure Backup and Azure Site Recovery: Secure, cloud-based data protection and disaster recovery solution

Log Analytics, Azure Monitor, AVD Insights: monitoring and operational visibility

These capabilities create a secure, flexible platform that supports distributed teams, enables faster onboarding, and improves visibility and cost control.

A partnership-led approach to transformation

A defining feature of the programme has been the collaborative approach taken by both organisations, working as a single team to align technical delivery with CARE International’s wider organisational goals.

mhance’s methodology, aligned to the Microsoft Cloud Adoption Framework, enabled a phased transition covering discovery and assessment, pilot migration, full migration, and optimisation.

Leadership perspectives

Tory Cassie, Director of Nonprofits, mhance, said:

“This project is a great example of what can be achieved when organisations work in true partnership. By combining CARE International’s vision for transformation with our deep nonprofit expertise, we’ve delivered a cloud platform that not only modernises infrastructure, but creates a strong foundation for future innovation and impact.”

Angelina Rees-Jones, IT Strategy and Transformation Lead from CARE International UK added:

“This migration represents an important first step in our wider transformation journey. By moving to Microsoft Azure, we are now better equipped to support our teams and country offices, we have strengthened our security posture, and we can efficiently support CIUK with delivering its mission.”

Driving long-term impact through cloud

Beyond infrastructure modernisation, the project positions CARE International to take advantage of broader cloud capabilities across data, applications, and collaboration, unlocking new opportunities to improve operational effectiveness and mission delivery.

The programme also reinforces mhance’s commitment to the nonprofit sector, combining cloud expertise with capabilities across customer relationship management (CRM), financial solutions, and data platforms to support end-to-end transformation.

About CARE International UK

CARE International UK is part of the global CARE network, working to save lives, defeat poverty, and achieve social justice around the world.

mhance, a Microsoft solutions partner specialising in the nonprofit sector, has announced the launch of its latest project with Woodgreen Pets Charity, focused on transforming the charity’s fundraising capability using Microsoft technology.

The latest phase of work at Woodgreen’s Digital Transformation, sees the move away from its legacy fundraising system, Raiser’s Edge, to mhance Nonprofit Core, built on Dynamics 365 and the Nonprofit Common Data Model. The project includes the migration of fundraising, event and income processing, with closer integration with Woodgreen’s wider Microsoft environment, supporting a more connected, insight‑led approach to supporter engagement.

This initiative builds on a longstanding partnership between mhance and Woodgreen, during which Microsoft technologies have been introduced across several core areas of the charity’s operations. Previous projects include the transformation of pet case management and help and advice services, the implementation of Dynamics 365 Business Central for finance, and the delivery of Pet Central, a tailored application that supports the end‑to‑end pet adoption process, matches animals with potential owners and rehoming.

Together, these initiatives have helped Woodgreen consolidate data, streamline processes and better support pets and people across the UK, while laying the foundations for a joined‑up Microsoft ecosystem.

With fundraising now joining finance, service delivery and adoption on the Microsoft platform, Woodgreen is taking another step towards a more holistic view of its supporters. The new solution will support improved reporting and insight, more consistent management of supporter preferences, and greater flexibility as fundraising models and engagement strategies continue to evolve.

Rohan Putter, Chief Executive Officer at Woodgreen states, “This project is an important step in our wider digital journey, helping us better understand and engage our supporters, while giving our teams the insight they need to support our mission.”

Tory Cassie, Director of Nonprofit at mhance adds, “Woodgreen’s journey shows the value of building capability over time on the Microsoft platform. Bringing fundraising into this ecosystem strengthens insight, operations and long‑term resilience.”

The fundraising transformation reinforces Woodgreen’s commitment to Microsoft solutions and reflects mhance’s continued focus on delivering scalable, sector‑ready solutions that support nonprofit organisations and the communities they serve.

About Woodgreen Pets Charity
